1.   From your initial login, click on the name of your Hosting Space. This is located in the center of your screen.
          (Typical names are Exchange Hosting Service, SharePoint Hosting Service, etc).

2.  On the left hand side, under the Hosting Space Menu, click on the name of the service you would like to manage.  Only services that you have subscribed for will be shown.  Service Names are:

Configure Signature for Blackberry emails

To change or delete your auto signature from your handheld, follow the directions below:

From the Messages screen, click the trackwheel and choose Options.
Select Email Settings and click the trackwheel.
Use the trackwheel to move the cursor to the Auto Signature dialog box and use the keyboard to enter a new auto signature.
Note: The handheld is configured to use auto signature by default. If you wish to use no signature, you can turn this feature off at this screen. There is some latency between when you make changes and when they take effect on the server. You may want to send yourself test messages to verify that your signature changes are working properly.

After you have made your changes, click the trackwheel and choose Save.
Note: Your auto signature does not appear while you are composing an email message on your handheld. Instead, it is appended to each email message you send. The auto signature is not appended to PIN or SMS messages



Blackberry - Delete Items Synchronization

Blackberry Deleted Items Synchronization

If you delete an email item on your BlackBerry, and it doesn't delete from Outlook, the first thing you should check is the following setting on your BlackBerry device:

1. Go into Messages (Email)
2. Click on the thumbwheel and select Options
3. Select Email Reconciliation
4. Change the "Delete On" option to "Mailbox & Handheld"
5. Verify that the "Wireless Reconcile" option is "On"
6. Verify that the "On Conflicts" option is "Mailbox Wins"
7. Save your settings

If, on the other hand, you delete an email from Outlook and it doesn't delete on your BlackBerry, the first thing you should think about is whether your Deleted Items folder is emptied on a regular basis. Your BlackBerry device will only know to delete an email from itself if the email is in your Deleted Items folder in Outlook. If you empty your deleted items folder (as I used to do, many times a day in an insane bid to keep my mailbox "clean"), any messages emptied that are still on your BlackBerry will remain on your BlackBerry.

So, before you empty your Deleted Items, make sure your BlackBerry is up-to-date (as far as deleted items are concerned). Email reconciliation for deleted items is as "real-time" as it for receiving new emails. The "Reconcile Now" option to be useful in getting emails deleted from my BlackBerry that are in your Deleted Items in Outlook.

Blackberry - How to Activate

How to Activate Blackberry Enterprise Server (BES)

Before activating your BlackBerry device, please contact your carrier and confirm that you have the BlackBerry Enterprise Service activated for your account.  This is different from the BlackBerry Internet Service.  Without the BlackBerry Enterprise Service activated by your carrier, you will not be able to activate your device.

Please note, before activating your BlackBerry device with any new hosting provider it is always a good idea to perform a reset on the device.


Generate an Activation Code
1. Navigate to the Blackberry section in your control panel (https://cp.myhostedsolution.com).
      a. In the control panel select your Hosting Plan
      b. Click on Hosted Organizations
      c. Click on the name of your Organization
      d. Click on Blackberry Users
2. Select Add BlackBerry User
      a. Click on the small address book icon to select your mailbox
      b. Your mailbox MUST have the first and last name values filled in, not just the Display Name
      c. Click on Add BlackBerry User
3. Choose either:
   "Set activation password with expiration time from 1 to 720 hours", and choose a password followed by clicking Set Password
    or
   "Set and e-mail random activation password with default expiration time 48 hours", followed by clicking Set Password


To Activate
1. Verify there is a good wireless signal before beginning the activation process. Data services are more signal intensive than voice services.
2. Take the Blackberry Activation password you received via email or generated in the control panel and on the handheld go to:

Advanced Options
Enterprise Activation

3. Enter your full email address and the activation password.
4. Press the scroll wheel and select Activate.
5. <Optional> If you are asked for a Server Address, please leave this field blank.

Once activation has beeen initiated, provision of the device may take approximately 15 minutes to complete. As the activation process completes, in the upper left a progress indicator will be displayed in % and blue errors indicating activity will occasionally flash in the upper right corner.

Any email that you received before the first time you synced with the server will show only the Headers, you will need to press the click wheel and select “get more” to see the whole body of the email.

BlackBerry Hard and Soft Reset

A soft reset is similar to restarting a desktop computer and is the most useful tool for resolving a variety of issues. In most cases, a soft reset will not affect user data on the device, unless the battery is very low. Also, it is a good practice to perform a sync operation before any reset to ensure that all data is backed up (assuming that synchronization is not the problem you are trying to fix).

A hard reset will return the device to original out-of-the-box condition; removing any preferences, custom settings, and third-party applications (personal information such as phone number and addresses, calendar entries, pictures... will also be erased). If possible, this data should be synchronized to a host computer prior to performing the hard reset. Do not perform a hard reset unless data has been backed up or you are willing to lose everything. After a successful hard reset, data can be restored to the device using synchronization or backup software (certain third-party applications may need to be re-installed manually). A sync backup using HotSync or ActiveSync will backup the contacts, calendar, memo's, and notes data to PalmDesktop or MS Outlook. Actual backup software can backup the entire device including third party applications.

Hard Reset
Remove and replace the battery.

Soft Reset
Hold the control key (half moon symbol under the letter "A"), the CAP key, and the DEL key at the same time.

To synchronize additional folders while using the BlackBerry Enterprise Services (BES), perform the following steps:

In Messages: Click Menu, select Options -> Email Settings, click Menu, select Folder Redirection.

Then select the folders you want to synchronize. (Only new messages will appear. To get the older messages, use Outlook or Outlook Web Access to move them out and then back into the appropriate folder.)

Below are several troubleshooting steps that can be used to troubleshoot a Blackberry® Activation should the activation not complete or return an error. 90% of BlackBerry activation issues support handles are resolved by one of the steps below.

If you have not already attempted to activate your device please follow the step by step instructions for activation in the following article before attempting the steps below:

1. Ensure that your device has a data plan

BlackBerry Enterprise Server Service requires that you have an active data plan from your mobile provider including BlackBerry Enterprise service.

2. Ensure that your device is provisioned for Enterprise Services

Without this provisioning, Blackberry activation will not work. You need to contact your wireless provider to confirm. With error “Unable to authenticate, Please contact your system administrator” please contact your mobile privider and request they remove and re-add Enterprise Services to your account while you reboot your handheld.

3. Ensure that you are running up-to-date BlackBerry device software.

If updates are not installed, please navigate to http://na.blackberry.com/eng/update/ and follow BlackBerry instructions or contact your wireless carrier.

4. Check the device Signal strength

Going to the main menu of the Blackberry device, going to the Tools or Options menu (depending on device), and choosing the Status Menu, please make note of the Signal strength (for a successful activation this number should be between -40 and -98 DbM and it should not be fluctuating). Also make note of the PIN number of the device in case you need to contact us by phone for further troubleshooting.

5. Verify that BlackBerry Service is enabled for this user VIA our Online control Panel

Once your device is properly provisioned with your provider you will need to log into your online control panel and browse to the BlackBerry Users screen. For  activation instructions click here.

6. Create or set a new activation key if you are unsure it the password has expired

For your security, Blackberry activation passwords expire after 48 hours. If you need a new password, click here.

7. Attempt to perform activation using your primary email address.

If you are running a split domian configuration create a secondary email address using your built in domain (ends with .myhostedsolution.net). Use this secondary email address when activating.

8. Disable any forwarding on the user's mailbox

To disable forwarding on a mailbox, login to your online control panel and navigate Exchange Hosting Service > Click Hosted Organizations > Click your domain name > Click Mailboxes > Click on the Mail Flow Settings tab and uncheck forwarding. Click save changes.

If emails happen to be forwarded to another Exchange BlackBerry-enabled user, then there may be an issue with activation. When an activation (ETP) message is sent from a BlackBerry device to this user's mailbox, it will eventually come to the BlackBerry server in 2 instances for 2 different valid users and so activation may not go through. So it is recommended to disable forwarding while activating. Once activation is complete, forwarding may be put back.

1. Start -> Control Panel -> Mail -> Show Profiles   

2. Now click Add -> give a name for the profile and click OK.   

3. Choose "Add a new e-mail account" click Next.   

4. Choose "Microsoft Exchange Server" and click Next.   

5. Fill in the following information: Microsoft Exchange server: mbx01.netplexity.local, Select Use Cached Exchange Mode, and and  Username: **your email address**

6. Click "More Settings" After a few seconds a message is displayed. "The action could not be completed. The connection to the Microsoft exchange server is 
unavailable. Outlook must be online or connected to complete this section." Click "OK". A window with Microsoft Exchange Server name and Mailbox name pops up. Click "OK".   

7. Go to "Connection" tab. Check the box near "Connect to my Exchange mailbox using HTTP" Note: This option will not show up if you dont have the hotfix installed. You should either have Service Pack 2   

8. Click "Exchange Proxy Settings" and enter mail.myhostedsolution.com

9. Choose "Basic Authentication" under Proxy authentication settings.   

10. Click OK -> Apply -> OK -> Next and Finish   

***If there was a pre-existing mail profile, you can specify a default mail profile by opening the control panel, select the Mail icon, select Show Profiles, select Always Use this Profile and use the drop down box to specify the profile created above.

11.Open Microsoft Outlook and login with your email address as your username.

This error is related to your Offline Address Book.  Without the Offline Address Book downloaded to your PC you will have numerous errors.

The most common reason that this error occurs is because your DNS is not configured with the autodiscover.domain.com (replace domain.com with your domain name).

To configure your Autodiscover Record:

You will also need to create one of the following dns records:

         A record for autodiscover.domain.com
                   pointing to 66.129.95.126

            Or

        CNAME record for autodiscover.domain.com
                   pointing to autodiscover.myhostedsolution.com


Once the record has been created, some DNS servers to not auto-refresh, so this change make take several hours before going into effect.

Last, you may need to force Outlook to download the Offline Address Book.  You may do this by selecting:
     Tools
          Send/Receive
               Download Address Book
                    Uncheck "Download changes since last Send/Receive" and select OK

To use Outlook 2007 Auto Account Setup, your domain must have an autodiscover.domain.x DNS record configured.

1. From the control panel, select the Mail icon.

2. Select Show Profiles, then Add.

3. Provide a descriptive name for the mail profile, for ex.Exchange, and select OK.

4. Enter your name, email address and email password, and select Next.

5. When prompted to "Allow this website to configure 'email address' server settings, select Allow.

6. At the login prompt, enter your email address as the username and your email password and select OK.

7. Upon completion of the mail profile configuration you will receive a Congratulations message which will indicate the e-mail account is successfully configured to use Microsoft Exchange.

8. Select Finish and OK.

***If there was a pre-existing mail profile, you can specify a default mail profile by opening the control panel, select the Mail icon, select Show Profiles, select Always Use this Profile and use the drop down box to specify the profile created above.

9. Open Outlook.  When prompted to login, enter your emal address for the username and your email password.
Ifyou receive the one time prompt to allow this website to configure 'email address' server settings", select Allow.

There are 2 methods for configuring autodiscover:

How to Configure Entourage 2004 or Entourage 2008 for Exchange 2007 Hosting

1. Launch Entourage and close the Entourage Setup Assistant window if it appears.

2. Select About Entourage from the Entourage menu and verify that Entourage is at least version 11.2.1. Close the About Entourage window.

3. Select Accounts from the Tools menu and select Exchange... from the New menu

4. In the Account Setup Assistant window, click the Configure account manually button

5. In the Edit Account window under Account Settings, enter the following information
(Some of this information must be provided by the Exchange Server administrator.):

Account name:      A descriptive name for you to identify your account 
Name:                  Your first and last name as you prefer others to see it 
E-mail address:     Your Exchange Server email address 
Account ID:          The Account ID is listed on the Advanced tab of the Mailbox in your online Control Panel, in the format NETPLEXITY\thisismyaccountid.  When entering it you only need to enter thisismyaccountid, replacing thisismyaccountid with the actual value for your mailbox.
Domain:                 netplexity 
Exchange server:    https://smtp.myhostedsolution.com/exchange/user@domain.com
                              (replace user@domain.com with your username) 
Select: This DAV service requires a secure connection (SSL)


6. In the Edit Account window under Advanced, enter the following information.

Public folders server: https://smtp.myhostedsolution.com/public
Select: This DAV service requires a secure connection (SSL)

7. Click the OK button. The Exchange Server email account will appear in the folders list in the Entourage Mail window and will begin to synchronize.

Initial synchronization from the Exchange Server to Entourage may take several minutes before complete.

The Junk Email Filter must be turned on in Outlook Web Access.

Log into OWA: http://webmail.myhostedsolution.com
Go to Options
Click on Junk Email
Click on Automatically filter Junk Email

Doing this will move those messages to your Junk Email folder automatically.



Exchange Hosting - Entourage will not sync the Calendar and Contacts

If Entourage will not sync the Calendar and Contacts try the following steps:

1) In Entourage, right click (or control click) the Contacts folder then choose Folder Properties.
There is a button for "Empty". This will remove the local cache on your Mac for that folder. Before choosing this be sure that you have documented any unsynchronized Contacts. Give it a few minutes to sync back up, then try to add a Contact in Entourage. Wait a few minutes and see if the Contact shows in Outlook Web Access. It can take up to 5 minutes. You can do this same process for the Calendar.

2) If #1 does not work, verify that you have ample disk space on your Mac. If you do, then create a new Identity in Entourage (which is basically like starting over with a new email profile. You can create a new Identity by choosing Entourage, Switch Identity.

To add additional mailboxes:
Click on My Ecommerce, My Services
Click on Upgrade Service
Select Exchange Hosting Additional Mailboxes, Select Monthly, Select Offline Payment and Continue
Check the box at the bottom that agrees to Terms and Conditions and Select Complete Checkout.

There will now be space to create the mailbox.

You can configure the spam filtering settings using your Safe Senders/Blocked Senders feature of Outlook and Outlook Web Access. 

We block emails that are listed on the Spamhaus database. The sender will receive a message back stating why the message was blocked. This only blocks known spammers.

The remaining items get moved to your Junk Email folder in Outlook/Outlook Web Access. This is where the Safe Senders/Blocked Senders feature comes in.

If you want to turn it off completely you can do that from Outlook Web Access, then Options and Click Junk E-Mail

Outlook maintains a "nickname" list that is used by both the automatic name checking and the AutoCompletion features. The nickname list is automatically compiled as you address email messages. If the nickname cache becomes corrupt, Outlook may not be able to identify recipients, may offer incorrect recipients, may send to an incorrect or old email address, or may send the message to the wrong person.


Remove An Outlook Name Cache Entry
1. Open Outlook
2. Open a new message window; go to the File menu and choose New - Mail Message.
3. Type one or more letters of the recipient name or address; this will show memorized (cached) entries in a drop-down list. Use the arrow keys on your keyboard to select the entry to be deleted. With the entry highlighted, press the DEL or DELETE key or your keyboard.

This removes the entry from your autocompletion cache.

8. Once the import has completed (could from several minutes to hours), click on Send/Receive.
9. The Send/Receive must be fully completed before all messages, contacts, calendars will appear in Outlook Web Access.

This option is available in the Control Panel on the Mail Flow Settings tab of a Mailbox or a Distribution List.

If you configure a mailbox or distribution list to require that all senders are authenticated, any messages from senders that do not have valid logon credentials in your organization will be rejected. By default, only new distribution lists are configured to require all senders to be authenticated.

Use this restriction to specify that recipients receive messages only from internal senders that have been successfully authenticated. For example, to prevent messages that originate outside of your Exchange organization from being delivered to distribution groups that are used for internal communications, you can configure these groups to require sender authentication.

Notes: If you are trying to receive messages from senders outside of your organization, you must unselect this feature.

1. On the Treo device, locate “All Applications” and select the “VersaMail” icon (Note, on the Treo 700p, the icon is “Email”, not “VersaMail”).

2.  If this is the first time VersaMail has been set up on this device, you can skip to step 4, otherwise, select the “Menu” key on the Treo, then select “Accounts” then “Account Setup”.

3. Select “New”.

4. In the “Account Name:” box, type “Exchange” or another name of your choosing – this will appear in VersaMail to identify this particular e-mail server. In the “Mail Service:” pull-down menu, select “Exchange ActiveSync” then select “Next”.

5.  In the “Email Address:” field, type your email address. 
     In the “Mail Server:” field, type exactly:    mail.myhostedsolution.com
     then select “Next”.

6.  In the “Username:” field, type in your username (this is typically your email address.
     Select the “Unassigned” box under “Password”, then type your Password in the text box, select “OK”
          (notice that the Password box shows “Assigned” at this point). Select Next.

7.  VersaMail is now set up to synchronize e-mail and calendar items to the central Exchange server. Select “Done”.

8.  You may receive a warning that indicates that all calendar data on the Treo device will be replaced by data stored in your Exchange calendar.

9.  Select “Yes”.

Due to the fact that a significant majority of SPAM comes from forged addresses, a new Sender Policy Framework (SPF) standard is being implemented by a number of ISPs and mail hosts, including several major providers (Hotmail, Yahoo, AOL, etc). Those providers have begun to require SPF to allow mail through their networks. Mail systems will need SPF records for their domains if they want their mail to be accepted by those providers.

No action is required on your part as long as you host DNS is hosted by this provider and you do not use any other mail servers to send mail from your domain.

To create an SPF record, create a TXT record on your DNS server with one of the following:

A split domain is when 1 domain is hosted on multiple servers (for example a POP3/IMAP server and an Exchange server).  We do not recommend this configuration, but it will be functional.

1.  Configure the MX records for the domain to point to the POP3/IMAP server only.  
2.  Configure the Autodiscover record as described in our KB (here).
3.  Configure a secondary email address on each Exchange mailbox using the built-in domain, as described in our KB (here).
4.  Configure the appropriate mailboxes on the POP3/IMAP server to forward messages to the secondary email addresses configured in step 3.
5.  Remove the authoritative feature for your domain in Exchange as described in our KB (here).

  3. Type in the email address of the person who will be viewing the calendar in the TO: field, verify "Allow Recipients to view your Calendar" is checked and click Send.
    Outlook 2007 will confirm that you wish share your calendar with the recipient and that read-only calendar permissions is being granted.

Launch Entourage,

  1. Select File > Open Other User's Folder...


  2. Leave the User: field blank and Select the Address Book look up icon.

From your initial login, click on the name of your Hosting Space. This is located in the center of your screen.  (Typical names are Exchange Hosting Service, SharePoint Hosting Service, Web Hosting Service)

On the left hand side, under the Hosting Space Menu, click on the Hosted Organizations link.

Next, select the Organization Name.  This should already be filled in for you, you only need to click the existing link.

You are now ready to create your SharePoint site.

Create Your SharePoint Site

The following steps assume you have navigated to the Hosted Organizations section in the Control Panel, if not please see the Control Panel Navigation KB.

There are 4 easy steps to creating your SharePoint site:

1.       Click on the Domain Names link on the left side of your screen.

a.       Click on the Add New Domain button.  When prompted for a domain, enter the URL of your new SharePoint site.  This must be a unique URL that you are not currently using anywhere.  Do not enter the “http”.  (typical URLs are portal.domain.com, sharepoint.domain.com, sp.domain.com, etc.) 

b.      After filling in all the fields, click on the Add Domain button to finish.

2.       Click on the Users link on the left side of your screen.  (If you are an existing Exchange Hosting customer, you can use your existing user accounts for your SharePoint site.)

a.       Click on the Create New User button.  The E-mail Address field will only be used as the username for the SharePoint site (unless this use is also an Exchange Hosting user).  Be sure to select the correct domain name from the drop down box.

b.      After filling in all the fields, click on the Create User button to finish.

3.       Repeat step 2a for all SharePoint user accounts. 

4.       Click on the Site Collections link on the left side of your screen.

a.       Click on the Create New Site Collection button.

                                                               i.      URL:   Using the drop down box, select the correct URL (this should match what you chose in step 1a

                                                             ii.      Owner:   Click the Address Book icon and select the person that will be the Owner of the site.  The owner has complete authorization to modify/create/delete site content.

                                                            iii.      Locale ID:  Currently we only support the English (United States)

                                                           iv.      Title:   This will be the title of your SharePoint site.  This is visible on the site itself

                                                             v.      Description:   This is the description of your SharePoint site.

                                                           vi.      After filling in all the fields, click on the Add Site Collection button to complete the site.

5.       In order to access your site you must now add the URL to your DNS.

a.       Option 1:  If your name servers are hosted by this provider then this is automatically done for you and you may stop here.

b.      Option 2:  If your name servers are hosted somewhere else then you will need to create a DNS entry for your new SharePoint URL. 

                                                               i.      Create an A record in DNS for: SharePoint URL (step 4ai shown above) pointing to 66.129.95.116

                                                             ii.      Depending on your DNS provider, this may take several minutes to become active.

How do I backup my SharePoint 3.0 site?

SharePoint sites are not actually moved from one location or server to another; rather, they are backed up to a file, and then the content or site is re-created from the backup file.  The Backup and Restore feature in Office SharePoint Designer 2007 is the best way to move an individual site or subsite from one server to another.

Backup a SharePoint site
Backing up a Web site creates a content migration package, or .cmp file. When you back up a Web site, you can choose to back up either the top-level Web site or the top-level Web site and any subsites. The backup file that you create includes list or library content, security settings, user information, navigation, customizations, and personalizations (such as views, site templates, and content types). The backup file does not include workflows, alerts, and properties stored at the site collection level.To back up a site, you must have administrator permissions for that site.

1.  Open Sharepoint Designer and from the File menu, click Open Site.

2.  In the Open Site dialog box, browse to and click the Web site that you want to back up, and then click Open.

3.  On the Site menu, point to Administration, and then click Backup Web Site.

4.  In the Backup Web Site dialog box, to include all subsites of the current Web site in the backup, select the Include subsites in archive check box.

5.  If the current Web site is low on available storage space, click Advanced, enter a new location, and then click OK.

6.  Backing up a Web site requires a location to store temporary backup files. By default, Office SharePoint Designer 2007 uses the current Web site.

7.  In the Backup Web Site dialog box, click OK.

8.  In the File Save dialog box, select the location where you want to store the .cmp file.

9.  In the File name box, type the name for the file, and then click Save.  If the site that you are backing up or restoring is large, the process can take quite a while.


Special Instructions for Sites over 24MB
Microsoft Sharepoint Designer 2007 may have problem to backup a Sharepoint site over 24 meg.  Here the workaround to be able to take a full backup of your Sharepoint site:

1.  Microsoft Sharepoint Designer 2007, create a backup file and save it to your computer.

2.  Go to your sharepoint recycling bin and locate the files it created during the backup and restore those files, and then download them to your computer.

3.  Change the filename from .cmp to .cab

4.  Extract all the files from all your .cabs to a folder say... 'tmpSharepoint'

5.  Go here: http://support.microsoft.com/kb/310618 and get yourself a copy of cabarc

6.  Now run the command.. like.. 'cabarc N sharepoint.cab tmpSharepoint \*.*'

7.  Rename sharepoint.cab to sharepoint.cmp

8.  Restore

Click on the Quick Launch bar on your home page, click on the word “Documents”.
Click on the list toolbar for the document library, click “Create Document Library”.
Click on Document Library Graphic.
Click on the “New Document Library” page, enter a name such as “siteimages”.
In the “Navigation” section, change “…Display Document on Quick Launch. . .” to “No”.
Click on “Create” button. Check the browser address field and make a note of the URL needed to access the new library (the “/Forms/AllItems.aspx” suffix does not need to be noted).
Click on “Upload Document”.
Click on Browse and locate the graphic you want to use, click “open” then “Save and Close”.
Click on browser “back” button and return to home page.

You can then update your SharePoint Site with your Logo:

To add a Windows SharePoint Services contacts to Outlook, follow these steps:

1.  If the Windows SharePoint Services folder has not been added to Outlook, add it to the navigation pane. To do so:

     a.  In your Web browser, locate the Windows SharePoint Services contacts that you want to access in Outlook.
 
     b.  Click Link to Outlook.
 
     c.  When prompted, click Yes in Outlook 2003 or click OK in Outlook 2007 to add the Windows SharePoint Services contacts to Outlook.
          If you do not see the contacts that you shared in step 1 in the Contacts view, go to step 2.

2.  In the Contact area of the navigation pane in Outlook 2003/2007, click to select the check box of the name for the Windows SharePoint Services contacts that you shared in step 1 under Other Contacts.
